This solutions article will go over the process of receiving in Inventory and Non-inventory products into SAP.

Receiving Non-Inventory and Services


Work Center: Goods and Services Receipts

View: Purchase Orders to be Delivered



On the "Goods and Service Receipts" page, search for the PO that you will be receiving. Once it's pulled up, select the line and click the "New Goods and Services Receipt" button. 


  • Search for PO
  • Select line
  • Click "New Goods and Services Receipt"


On the "New Goods and Services Receipt" page, input a "Delivery Note ID" in the appropriate field, which can be the Invoice Number or Delivery/Shipping number. Then verify that the line items the line items that you are receiving by reviewing the amount and price of the line items. 


If you are only receiving in certain items on the PO, you can adjust the "Delivered Quantity" or remove the line completely by clicking the "Remove" button.  


After reviewing the details of the line items you'll be receiving, click the "Save" button and then click "Post". 


  1. Input "Delivery Note ID:"
  2. Select the Line
  3. Verify "Delivered Quantity" or adjust if necessary
  4. Click the "Remove" button if the line item is coming in at a later date. 
  5. Verify pricing 
  6. Click the "Save" button
  7. Click "Post"



After posting the "Goods and Service Receipt", you are finished with receiving in Non-inventory or Services. 




Receiving Inventory


Work Center: Inbound Deliveries

View: Purchase Orders



On the "Inbound Logistics - Purchase Orders" page, search for the Purchase Order number. After pulling up the Purchase Order, select the line that you'll be receiving and click the "New Supplier Delivery Notification" button. 


On the "New Supplier Delivery Notification Page" input a "Delivery Notification ID:" into the appropriate field, then select the "Line Items" tab. 


Delivery notification ID can be the Invoice Number, Shipping reference ID, etc. 


  1. Fill in the "Delivery Notification ID:" field
  2. Click the "Line Items" tab



After switching Tabs, all of the line items should appear that are on the PO. This is where you can adjust the amounts or remove lines that haven't come in yet. 


  1. Select the line items that need to be adjusted
  2. Adjust the quantity, if needed, for the amount received
  3. If needed, remove any lines that did not arrive yet. 
  4. Click the "Save and Create Warehouse Request" button
Either remember or jot down the Supplier Delivery Notification ID to pull up the Inbound Warehouse Tasks in the later steps. 




Once you create the Warehouse request, you'll proceed to "Execution" -> Inbound Warehouse Tasks to receive them into Inventory.

View: Inbound Warehouse Tasks.  



On the Inbound Warehouse Tasks screen, search for the Task by the "Supplier Delivery Notification ID". Once it pulls up, select the line and click the "Confirm" button. 


  1. Search for the "Supplier Delivery Notification ID"
  2. Select the Put Away task
  3. Click the "Confirm" button. 



On the put away task page, select the line items and click the "Propose Quantities and Logistics Area" button to fill in the logistics area. Then you'll fill in the amount received in the "Actual Quantity" field, then verify the "Target Logistics Area'


Sometimes the "Propose Quantities and Logistics Area" button doesn't fill in the logistics area. If it doesn't, make sure you input it into the field and it's usually always 1000-10. 


After inputting the logistics area and the "Actual Quantity", click the "Save" button and then the "Close" button. 


  1. Select the line
  2. Click the "Propose Quantities and logistics Areas" button
  3. Input the quantity that was received in the "Actual Quantity" field
  4. Verify the "Target Logistics Area ID"
  5. Click the "Save" button
  6. Click the "Close" button. 





Receiving Individual Material - Rental Assets

View: Purchase Orders to be Delivered


IMPORTANT - Must have full line QTY before receipt of Line



Search for the Purchase Order by entering it into the search field, then click the line for the PO and press the "New Goods and Service Receipt" Button


  • Search for the Purchase Order
  • Highlight the line of the PO
  • Click "New Goods and Services Receipt"


On the "New Goods and Service Receipt" page, remove any lines that aren't going to be received. 


IMPORTANT - Delivery Date populated does not match PO Delivery Due Dates. You must also confirm correct PO line item to receive by matching it on the PO Screen. 



Once you remove any lines you won't be receiving, make sure the Delivered Quantity equals the Ordered Quantity. 


IMPORTANT - If you do not have the full amount, do not receive that line. Remove it till you receive in the full amount. 


Before saving and posting, Highlight the row of the product and click "New Individual Materials". This will explode the line item into individual rows representing 1 asset per line. 




You'll now save the receipt and post the receipt. 


IMPORTANT - You can only do 300 IMAT's per receipt, therefore, multiple receipts may be required.
