How do I unlock a password locked account?

You can unlock a password locked account using 1 of 2 methods. 


  • Method 1: reach out to IT support to unlock the account. 
  • Method 2: You can use the "Forgot Your Password" to create a new password, which will unlock the account.


How do I unlock a locked document session?


  • Wait for the inactivity duration to kick-in, which is set for 2 hours
  • Close out of all of your browsers, then log back into SAP ByDesign. Once you log in, it will prompt you to delete active sessions. Click "Yes" and this will unlock the document session.


How do I keep the auto query for Search from running when switching between Views and Work Centers?

On the query you wish to stop this on...

  1. Click the Advanced Filter button
  2. Click "Organize Queries"
  3. Uncheck the "Execute on Selection"




How do I change the decimal notation on my account?


  • Click on the picture portrait in the top right
  • Select "My Settings"
  • Under "Regional Settings", select the drop-down box for "Decimal Notion"
  • Change it to 1,234,567.89
  • Save and Close





Is there a way to change the appearance of the SAP ByDesign UI?
  • Click the picture portrait in the top right
  • Select "My Settings"
  • Click the "Appearance" Tab
  • Select from the list under "Display" to change the appearance


There have been some issues with certain fields or display's not working when using the "SAP High-Contrast Black" option. 




How do I setup notifications for Purchase Order Approvals?


  • Click on the "Home" Work Center
  • Click on the "Work" -> "Inbox" view
  • Click the "Subscribe to Tasks" button on the Home - Inbox page
  • Scroll down to "Purchase Request and Orders" and click the Drop-down Arrow
  • Click the Drop-down arrow on "Purchase Orders"
  • Select the "Approve Purchase Order <Purchase Order ID> - <Supplier Name> - <Total Net Value> - <Account Assignment Name"> and check the box next to it under "E-mail" on right right



Once it's setup, you'll receive an e-mail like the one below when you need to approve a Purchase Order. 




How do I setup a substitute for my Approvals when I'm out?


  • Select the "Home" Work Center
  • Select the "Self-Services" view
  • Under "Time" select "Edit Task Substitutions"
  • Click the "Add Row" on the "Edit Substitutions for XXXXXXXXXXX" Page
  • Fill in the Name & then select the "Activate" check mark to activate them




Mobile App for Approvals


  • Proceed to either the "Google Play Store" or "Apple Store" on your respective devices
  • Download the "SAP Business ByDesign Mobile" application
  • Open the application once it downloads
  • Enter in the ByDesign system url -> https://my343960.sapbydesign.com
  • Click the "App Password" button to "On"
  • Click "Done"



  • Enter your Username & Password
  • Create an Application Password - You'll use this to login in the future instead of Username & Password
  • Download & install any Updates
  • You can now View & Approve Purchase Orders in the "Manager Approvals" pane.
